How we obtained your details
We identified your details from publicly available planning application records published by your local council's online planning portal. These records are made publicly available by law under the Town and Country Planning Act 1990 and the Freedom of Information Act 2000.
We contacted you because our records show you have submitted, received approval for, or received a decision on a planning application for building works at your property. We believe our partner contractors may be able to help with your project.
What data we hold
We hold only the information publicly available from your council's planning portal:
Your property address and postcode
Your planning application reference number
The type of works described in your application
The status of your application (submitted, approved, or refused)
The date your application was submitted
We do not hold your name, email address, phone number, financial information, or any other personal data beyond what is published on the council planning portal, unless you choose to contact us directly.
Why we contacted you
We contacted you on behalf of one of our vetted building contractor partners to offer a free, no-obligation quote for the works described in your planning application. We believe this constitutes a legitimate interest under UK GDPR (Article 6(1)(f)), as:
The data is already publicly available
The communication is directly relevant to your planning application
We offer a clear and simple way to opt out
The contact is proportionate (a single letter per application stage)
How we use your data
Your data is used solely to:
Send you relevant correspondence about building services related to your planning application
Match you with a trusted local building contractor
Track which letters we have sent to avoid sending duplicates
We do not sell your data to third parties. We do not use your data for any purpose unrelated to the building services described in our correspondence.
Our building contractor partners
We work with a small number of vetted local building contractors. When we send you a letter, it is on behalf of a named contractor whose details are included in the correspondence. Your data is shared only with the specific contractor named in your letter, and only for the purpose of providing you with a quote if you choose to get in touch.

All data is stored securely on encrypted systems in the United Kingdom
Access to personal data is restricted to authorised personnel only

How long we keep your data
We retain your planning application data for a maximum of 12 months from the date we first identified your application. After this period, your data is automatically deleted from our systems unless you have entered into an ongoing relationship with one of our contractor partners.

We will remove your details within 7 days of receiving your request and you will not receive any further correspondence from us.
